Outline of key responsibilities

  • Assist with efficient team operations
    • Prepare weekly department meeting agendas, attend meetings, take notes, create action items, assign tasks, and prepare for future meeting
    • Assist with client and team scheduling of special requests
    • Test and suggest improvements to written work instructions
    • Monitor team progress on Objectives and Key Results (goal tracking)
    • Monitor status of routine tasks assigned to team members
    • Monitor status of weekly/monthly checklists
    • Monitor Hubspot (CRM) and assist with proposals and other sales activities
  • Process routine tasks in QuickBooks Online, Bill.com and related systems
    • Vendor invoice processing, invoice-PO matching
    • Client Cash receipts / customer invoicing and statements
    • Reconciliation of bank and credit card accounts
    • Coding of other accounting transactions
  • Manage shared client accounting mailboxes
    • Review inboxes
    • Work with other team members to create and refine rules that automatically categorize or process incoming email
    • Assign tasks for high-priority or time-sensitive request
  • Manage the onboarding of new customers
    • Take responsibility for adapting the standard checklist to meet client-specific needs
    • Assign tasks and due dates
    • Monitor progress and communicate regularly with the internal team and client
    • Coordinate and schedule meetings during the onboarding process

Technology skills

  • Newest Microsoft 365 technologies for collaboration: Teams, Planner, SharePoint, etc.
  • QBO and related web-based services; ability to learn, pass the certification, retain knowledge
  • Proficient- Microsoft office with emphasis on Excel


  • Associate, bachelor’s degree, or equivalent desired
  • Accounting or bookkeeping experience is a plus
  • Demonstrated skills in written and verbal communication, problem-solving, task and project management, customer service, and organized
